This article explains how users with access to the supervisor portal record lost time, restricted work, or job transfers in Sospes.
Adding lost time or restricted days
- Go to the Supervisor Portal.
- Find the Injury report you need to add lost time/restricted days to and open it.
- Scroll down to the question "Will this injury result in days away from work, restricted work, or job transfer?" and select Yes.
- Click Edit below the calendar.
- Click a day to mark it. Each click cycles the day through three options: lost time (blue), restricted days/job transfer (orange), then clear.
- To mark several days at once, click and drag across them.
- Once done, check the summary table below the calendar to confirm the totals.
- Click Save below the calendar, then click Save at the bottom of the report so all changes are updated.
Calendar Color Guide
| Color | Meaning |
| Blue | Lost time (days away from work) |
| Orange | Restricted work or job transfer |
| Green, labeled "Injury" | The day the injury occurred. This day is never counted. |
*Please note: Count calendar days, weekends and holidays are included, per OSHA 1904.7. A weekend day should be marked even if the employee wouldn't normally have worked it.
Summary Table
Below the calendar, the table totals your entries by month:
- Lost Days: days marked as lost time
- Lost Hours: calculated automatically (lost days x scheduled shift)
- Restricted Days: days marked as restricted work or job transfer
A Total row sums all months. Beneath the calendar, the table shows the combined count of lost and restricted days against the 180-day OSHA cap (for example, "8 of 180 combined days away + restricted").
Lost hours and scheduled shift
Lost hours are calculated automatically by multiplying the number of lost days by the Scheduled Shift (hours per day) entered below the calendar. This is used for sites outside the U.S., where lost-time injuries are reported in hours rather than OSHA days, and for severity rate calculations.
If the employee's normal shift isn't 8 hours, update the Scheduled Shift field before saving so the hours are calculated accurately.
Example
An employee is injured on Thursday, September 3rd. The employee cannot return to work until September 7th and their supervisor places them on restricted duty from Friday, September 7th through Friday, September 11th. They return to normal duty on Saturday, September 12th.
In the calendar, you would:
- Leave September 3rd as is. It's the day of the injury and isn't counted.
- Click and drag from September 3rd through September 7th until those days turn blue (lost days).
- Click twice and drag from September 7th to September 11th until those days turn orange. (restricted work)
With an 8-hour shift, the table would show 5 Restricted Days, 3 Lost Days, and 24 Lost Hours. September 5th and 6th are included because weekends count.
